The Upload Order wizard allows you to upload an order from a spreadsheet into StockIQ. This can be useful if you have external requirements or non-planned items that you need to easily create a PO for.
It is accessible in Step 2 of the Place Orders screen, by clicking the Edit --> Upload Order menu option.
The wizard is a 3-step wizard:
Upload File
The first step is to upload your file, which you can do by clicking the "Select File..." button.
At minimum, your file must have these three headers in it, which must match EXACTLY what is shown in the specification. These column headers are how StockIQ determines what values are present in which columns, since many of the fields are optional or missing.
- Item Code - The part number to order
- Site Code - the site into which it should be ordered
- Order Qty - The order quantity you want to order.
If only these three are present, StockIQ will fill in your calculate the remainder of the necessary fields to create a PO, the results of which will be shown in the preview on Step 2.
You can optionally provide some additional columns, which again, the headers must match EXACTLY.
- Planned Receipt Date - An override to the planned receipt date that would be calculated by adding lead time to today.
- Expected Ship Date - An override to the planned ship date that would be calculated by using the existing manufacturing and admin lead times.
- Purchase Cost - What cost you are purchasing this inventory at. If missing, we'll use whatever is the supplier purchase cost listed in StockIQ.
- Container Number - An optional container number if you have pre-broken your order out into containers.
- Supplier Code - A specific supplier to use. If missing, StockIQ uses the supplier you clicked on in Step 1 of place orders. Specifying a mix of suppliers allows you to create multiple PO's at once for different suppliers.
- Internal Comment - an internal, line-level comment to put on each line (kept on the internal order only)
- External Comment - an external, line-level comment to put on each line (printed on the PO)
- Shipper Code - the specific company owning/ordering the inventory (this is not common)
Import Preview
Step 2 of the wizard is a preview of what StockIQ thinks it has read from your file. A quick summary of the values that have been parsed and read out is shown in the grid. If everything looks good in the grid, you can move on to the next step.
When you click next, your imported lines will be translated into Supply Order Lines, with all data filled in like lead times, dates, costs, etc.
View Results
Now the wizard will convert your uploaded lines into full-featured order lines with all of the normal fields. A summary of the import is displayed at the top.
Any errors will be displayed in the "Import Errors" grid, such as parts we were not able to find from that vendor, and so on.
When you click "Finish", your uploaded lines will be copied into the Place Orders grid. The wizard will be closed, and you can place your order normally using the Place Orders screen.
IMPORTANT: Any lines previously in the grid will be removed.
