Summary
The order history screen shows all purchase orders that StockIQ knows about, whether generated from StockIQ, or externally. Generally, StockIQ will keep the last 3 years of order information for querying in StockIQ. This article walks through the various columns and tabs in the order history screen.
Column Description
Orders Tab
When you first open the screen, by default, StockIQ shows the orders tab. This is a master-detail style view with order headers shown at the top, and order line detail shown at the bottom. By default, only orders created by StockIQ are shown. You can remove this filter in the "Filters" popup box.
Most of the columns are self-explanatory, but some bear further explanation:
-
Erp Order Number vs Stock IQ Order Number - Any orders placed in StockIQ will have a StockIQ order number. Orders placed OUTSIDE of StockIQ will not have a StockIQ order number, so that column will be blank. For most customers, orders placed in StockIQ that have been synced to your ERP system will have the same ERP Order number, but if your ERP assigns its own numbers, you may see a different ERP vs StockIQ order number.
- IMPORTANT: If you see a StockIQ order number, but do NOT see an ERP Order number, this usually means the order has not (yet) been synced to your ERP system, and may need to be re-synced (see below)
-
Sync Status - This describes what StockIQ knows about if/how the item is synced with your ERP system. The below shows the statuses you might see here:
-
Synced - Indicates that StockIQ is up-to-date with the latest information in the ERP. You will see this status displayed when either
- We have just loaded information about this order from the Supply Order data feeds
- We have placed the order into your ERP and received confirmation back that it is in place.
-
Sent - The order has been sent to the outside world, but we have not received confirmation back that it was received or accepted by the ERP. This is common in cloud/hosted scenarios, where all we know is that we have published the order, but did not receive a confirmation via an API. The order will show as "Synced" the next day after reprocessing your order input files.
- If the order is present in those files, statuses will be updated from your ERP
- IF the order is not present (e.g. you deleted the order), StockIQ will cancel these lines automatically, since we now know the ERP did not receive the order.
- Needs Initial Sync - This is displayed when the order is waiting its initial sync output with the ERP. You will generally only see this when there was an error writing to the ERP system, and you need to fix something before re-syncing the order.
- Not Applicable - This is shown when the lines in the order do not need an ERP sync, such as when they are all in "Review" or "Confirm" status, and should be kept internal to StockIQ for now.
-
Synced - Indicates that StockIQ is up-to-date with the latest information in the ERP. You will see this status displayed when either
Order Status Updates
From within this screen, you have some options to edit your orders.
Re-Sync Order - This allows you to resync an order with the ERP, if it has not been released, or if you had an error during the order placement process. See How do I re-sync or re-send an order to the ERP if I receive an error message when placing the order?
Approve Selected Lines - Marks the lines as approved, and sends them to the ERP for processing according to your order integration
Confirm Selected Lines - Changes the line status to "Confirmed", but does not output it to the ERP (under most configurations). This is done when you have a vendor Review/Confirm/Release process in place (this is not common)
Cancel Selected Lines - Allows you to cancel the selected lines. They are not sent to the ERP, and any on-order quantities in StockIQ are shown as canceled and are removed. The affected items are re-planned without the order.
Editing Order Header Notes
Depending on their status, you can edit data on the order headers, such as the internal and external notes. Typically this is only allowed if the order has not been sent to the ERP, but it can be useful to edit the header comments on a review order before it is approved and sent to the ERP
Detail Tabs
This tab provides a unified header-and-line detail grid in a flat view that is more conducive to exporting and pivoting via excel. Editing is not allowed from this tab.
